Trip Package
-
What it includes - the services of a Tracks & Trails Trip Consultant to
help you choose a suitable itinerary, a personalized Trip Proposal based
on the information you provided in your Customer Profile (This lists all prepaid
components of your trip, including accommodations, vehicle rentals and
activities.), confirmed reservations for all trip components outlined in the
Trip Proposal and an Adventure Kit travel portfolio, containing all
trip-related documentation.
-
What it does not include - airfare, fuel and items of a personal nature such as
laundry, groceries, meals, drinks, telephone and fax charges, visa and passport
fees, vaccinations, gratuities and foreign and domestic departure taxes.
-
Reservations should be made at least 60 days in advance. Availability of RV's
and national park campground space cannot be guaranteed by Tracks & Trails
at any time. If campground space is not available as per the itinerary, Tracks
& Trails will do their best to find suitable alternate accommodations.
-
Prices
-
All prices are quoted in US dollars and are subject to change including all prices from third party providers for vehicle rental, accommodations and excursions.
-
If there is a significant change in the foreign currency exchange rate after your proposal is accepted, Tracks & Trails reserves the right to issue a surcharge.
-
If extension of a packaged trip is requested, a surcharge will be added depending on the length of the proposed extension. Please note that extensions are not always possible. As on any trip, inclement weather and other conditions beyond our control may prevent or delay departure of a scheduled airplane, ship, train or bus. If as a result, you must book an additional hotel night, all added costs are solely your responsibility, not ours or the supplier's.
-
Payments
-
A Deposit equal to $1,000 for a 7-10 night trip or $1,400 for an 11-14 night trip must be paid to secure your reservation. For trips exceeding 14 nights, a deposit of $100 per night based on the length of the trip must be paid. $75 of your Deposit is considered a handling fee and is non-refundable. For custom trips, the non-refundable portion of your depost is $250.
-
Final Payment is due 60 days before departure. If a booking is made within 60
days prior to departure, full payment will be required at the time of booking.
-
Any changes that you make after you have approved your Preliminary Itinerary and
paid your Deposit will incur change fees. We will provide an estimate of these
fees, based on the complexity of the changes. Special requests may incur fees
outside of the normal trip cost and are the responsibility of the customer.
-
We accept all major credit cards, check or money order. If you choose personal
check as your method of payment, there will be a delay in starting work on your
itinerary until a reasonable time has passed so that the check will clear your bank.
-
Cancellation Policies
-
Forfeit of Deposit/Cancellation Fees
-
If you cancel and have not approved your preliminary itinerary, your Deposit will be returned minus a $75 handling fee ($250 for custom trips).
-
If you cancel more than 60 days prior to your departure date, your cancellation fee will be equal to your Deposit.
-
If you cancel between 30 and 60 days prior to your departure date, your cancellation fee will be 50% of the price of your trip.
-
If you cancel 30 days or less prior to your departure date, your cancellation fee will be 100% of the price of your trip.
-
If T&T cancels then 100% refund of all funds or an alternate trip will be
suggested. If that program is unacceptable, Tracks & Trails will refund all monies
paid to Tracks & Trails; Tracks & Trails cannot assume responsibility for
any additional costs/fees relating to the issuance and/or cancellation of air tickets
or other travel arrangements not made through Tracks & Trails.
-
Since the weather and acts of humans are out of the control of Tracks & Trails at
any location at any time, no refunds will be made should the customer cancel any or all
of the schedule trip due to weather or fire/smoke conditions. If your trip needs to be
rerouted due to fire/smoke conditions, we will do so.
-
ALL CANCELLATIONS MUST BE RECEIVED AT OUR OFFICE IN WRITING (FAXES ARE ACCEPTABLE.)
-
Trip Cancellation/Travel Protection Insurance - Tracks & Trails strongly recommends
that you purchase travel insurance providing coverage for loss of Deposit, cancellation
fees, medical expenses, lost baggage and other potential travel-related losses under
certain circumstances. The scope of coverage is subject to the terms and conditions of
the insurance policy. Without insurance, you could lose your entire vacation investment
if you must cancel, or be stuck with paying for costly last-minute arrangements with no
recourse for reimbursement. We offer a link on www.tracks-trails.com to the website for
Travel Guard International (See LINKS at the top of our home page). Travel Guard
International specializes in providing insurance packages designed to cover a variety of
potential losses: trip cancellation, trip interruption, trip delay, emergency medical
treatment, lost/stolen/damaged baggage or travel documents or luggage delay. Please see
their link on our website. If you choose to purchase this insurance, please do so no
later than the time of your final payment.
-
The Adventure Kit information
-
We pay to have your Adventure Kit delivered with adequate lead-time (typically 45 days) before departure provided that the trip is paid in full. Ground shipping is the shipping mode of choice. If there is a misstep by us, we will arrange a faster shipping option. For our clients outside of the USA, we normally will send the electronic portions of your Adventure Kit via email and will ship the Adventure Kit to your first night's hotel.
-
Adventure Kits can be shipped international at the expense of the client plus a $25
handling fee to Tracks & Trails. The handling fee is to cover the cost of
completing overseas shipping and customs forms.
-
If you have not received your Adventure Kit within one week of your trip, we will
ensure delivery of the Kit to the RV rental company or your hotel. We discourage
last minute delivery of the Adventure Kit and we realize that sometimes it cannot
be avoided. In such cases, we do not assume any responsibility for on-time delivery
for a last-minute delivery. We also cannot reproduce your Adventure Kit if it is
lost or delayed in last-minute shipping.
-
The Adventure Kit includes the Trip Itinerary, Travel Tips, Route Maps and Destination Folders
-
The Trip Itinerary contains your day-by-day game plan, tailored to your unique needs. This part of the Kit includes extensive details on activities, accommodations, driving directions, and pre-arranged activities.
-
The Travel Tips section includes things you need to know about weather, health, equipment, RV's, packing, camping etiquette, cooking, traveling with kids and even building a perfect campfire!
-
The Route Maps are detailed for your route, destinations and points of interest that are clearly marked.
-
The Destination Folders hold handy "More About" documents, which neatly summarize what you need to know about getting around, dining, shopping, the weather and optional activities, carefully chosen assortment of travel brochures and publications, receipts, vouchers, and confirmations for activities that we've reserved for you.
-
Refunds - Tracks & Trails will not issue a refund for any unused portion of trip
including all arrangements made for optional excursions or activities.
-
Travel Documents - All passports, health documents, visas and any other travel documents
are the responsibility of the customer.
-
Accommodations
-
Hotel/Motel - For the first night of your trip, you will be staying in a 3-4 star hotel.
If a change becomes necessary, hotels substituted will be the equivalent of those initially
described. While every effort is made to reserve only twin-bedded rooms, it may
occasionally happen that a hotel provides some double-bedded rooms instead. NOTE:
It is standard policy that hotel rooms are not available for check-in before 3:00 p.m.
We will make every effort to accommodate special requests such as non-smoking floors or
king-size beds. Please understand that not all special requests can be guaranteed.
-
Campgrounds - Campgrounds run the gamut from expensive "RV Resorts" with hot tubs and
scheduled activities (usually with a distinctly senior orientation), to rustic, no-frills
campgrounds in a forest at the end of a long gravel road. Each has advantages under certain
conditions. Ask about the campgrounds on your trip so that you can be prepared for each
night's accommodations - which may be just the RV and all that nature has to offer.
-
RV description - The RV offered will be based on the number of travelers and the location
of the starting point of your trip. Most RV's can be classified into four size groups.
Ask your travel consultant about the options available. Most RV's include a variety of
amenities including kitchen, bathroom, sleeping and dining areas. Other options may be
available and should be requested by the traveler. See our website for examples of what
is available in today's RV's.
-
IMPORTANT - Smoking not allowed on any of the RV's. Any alcohol consumption should be conducted
in a responsible manner. It goes without saying that drinking alcohol and driving an RV do not
mix. If the traveler chooses to drink and drive irresponsibly, Tracks & Trails or its third
party suppliers cannot be held liable or accountable for such actions.
-
Special Traveler considerations - It is the responsibility of the traveler to notify
Tracks & Trails at the time of booking of any special disabilities, medical
conditions or other considerations of the members of the traveling party. Tracks &
Trails will make reasonable efforts to accommodate the special needs of disabled
travelers, but is not responsible for any denial of services by carriers, hotels,
lodges, restaurants or other independent suppliers. RV's are not equipped with
wheelchair ramps. We regret that we cannot provide individual assistance to a traveler
for walking, dining, getting on and off any transportation vehicles, or other personal
needs. Travelers who need such assistance must be accompanied by a qualified companion.
-
Liability Waiver
-
Our travel packages are under the management of Little Park LLC d/b/a Tracks &
Trails (hereinafter called "the Company"). We are responsible to you in making
arrangements for the travel services offered on this website and any printed
materials, including transportation, sightseeing and hotel accommodations. The
carriers, hotels and other suppliers providing travel services are independent
contractors and are not principals, agents, employers, employees, masters,
servants, representatives, partners or joint ventures of the Company or its affiliates.
-
The Company is not liable for the acts, errors, omissions, representations,
warranties, breaches or negligence of those independent contractors and is not
liable for any personal injuries, death, property damage, or other damages or
expenses resulting therefrom. All certificates and other travel documents for
travel services issued by the Company are subject to the terms and conditions
specified by the supplier thereof, and to the laws of the countries in which
the services are rendered.
-
If the services included in the travel package cannot be supplied or there are
changes in an itinerary for reasons beyond the control of the Company, the
Company will arrange for the provision of comparable services, when possible.
Any resulting additional expense will be payable by the travel customers and
any resulting saving will be refunded by the Company to travel customers.
-
If the customer varies from the itinerary or package due to their own decision
or volition, Tracks & Trails or its suppliers will not be responsible for
missed excursions or campground reservations. Any and all side trips not in
the itinerary are made by the customer at their own risk. Any additional
expenses incurred outside of the itinerary and travel package are the
responsibility of the customer.
-
The Company reserves the right to accept or reject any person as a travel customer,
to make changes in the itinerary whenever the Company deems it necessary for the
comfort, convenience or safety of the travel customers and to cancel an itinerary at
any time.
-
The statements herein and the contract between travel customers and the Company are
made and entered into in Mesa County, CO. Any controversy or claim between a travel
customer and the Company which cannot be settled amicably must be litigated either
in a state court in and for Mesa County, CO, or in the U.S. District Court for the
District of CO and shall be governed by the laws of Colorado. The Company and each
travel customer expressly waives the right to a jury trial and agrees that legal
proceedings, if any, must be filed within one year following the date of trip completion.
-
Each travel customer understands that the Company will be accepting that customer's
booking in reliance upon such customer's acceptance of the within Trip Conditions.
No person, other than an authorized representative of the Company by a document in
writing, is authorized to vary, add or waive any term or condition in this brochure,
including any term or condition set forth in the preceding provisions.
-
Baggage - Due to limited RV capacity, we highly recommend that our customers be aware
of the limited space in an RV when considering the amount of luggage you plan to bring.
Most airlines now impose a weight restriction on baggage and will charge additional
fees if size and weight restrictions are exceeded. Please contact your airline(s)
directly for specific requirements. No responsibility is accepted for loss of or damage
to baggage or any of the passengers' belongings. Baggage insurance is recommended.
-
Acts of God and other things out of our control - Please be aware that during your
participation in your RV trip, certain risks and dangers may arise beyond our control
including, but not limited to, the hazards of traveling in remote areas; travel by boat,
train, automobile, aircraft or other means of transportation; the forces of nature,
political unrest, any act of any State or government or any authority, accident or
illness of any kind including those in remote regions without means of rapid evacuation
or medical facilities or any other cause whatever beyond Tracks & Trails' control.
Tracks & Trails will not have liability regarding provision of medical care or the
adequacy of any care that may be rendered. It is understood that Tracks & Trails
will use its best efforts to ensure that adequate measures are taken.
NOTE: Terms & Conditions are subject to change.
